Executive Assistant - Executive Support Team
About the role:
You'll work at the heart of the decision-making team of New Zealand's fastest growing district. Supporting our mayor and reporting to our Head of Executive Support and Advisory. You'll take charge of managing the mayor's schedule, overseeing vital admin tasks, and ensuring everything runs like clockwork.
This fast-paced position offers a valuable perspective on Local Government, and an opportunity to work more closely with our wonderful growing community.
Some key responsibilities will include:
- Prioritising and managing the mayor's diary and key engagements
- Handling complex, confidential administrative and governance tasks with finesse
- Preparing agendas, organising meetings, and ensuring clear communication flows
- Arranging the travel, conferences, and events
- Supporting and coordinating exciting projects
- Building strong relationships with stakeholders and ensuring smooth interactions
- Collaborating with our executive team to ensure seamless support across the board
About you:
We're on the lookout for a high performing experienced Executive Assistant, that is proactive, organised and detail oriented.
As a natural communicator, you're known for your exceptional written and verbal communication skills, you'll be adept at building good relationships with a diverse range of people. Flexible and positive in nature, you will be able to quickly adapt to changing priorities and proactively anticipate the needs of those you are supporting.
You will also have:
- Experience with diary and inbox management, meeting coordination as well as arranging travel and accommodation
- Excellent digital literacy with proven experience with Microsoft 365, Teams, and the latest Microsoft Office tools.
- Experience working in fast-paced environments, with incredible organisational and time management skills.
- Confidence dealing with confidential and sensitive topics with a high level of discretion and professionalism
- A passion for making a difference in your community
- An understanding of the local government landscape would be beneficial
