Personal Assistant

About the role:

As a member of the Finance and Digital teams, the Assistant to the Chief Finance Officer and Chief Digital Officer will be provide consistent and dependable administrative support within a complex and interesting space, gaining exposure across a wide range of technical fields.

This busy role offers a unique insight into Local Government in a supportive, genuinely fast-paced, and exciting work environment. We see this role being 40 hours per week however there may be some flexibility on this for the right person.

Other responsibilities will include:

  • Actively manage and organise two inbox's coordinating meetings and responding to queries
  • Book travel and accommodation as needed
  • Assist with editing, formatting and critiquing group correspondence
  • Coordinating document preparation, including induction plans, onboarding and offboarding
  • Process purchase orders and accounts, as required for the finance and digital teams
  • Managing relationships and engagement across the wider organisation
  • Managing and coordinating exciting projects
  • Taking minutes for the group and other Council meetings

About you:

A natural communicator, you will be known for your exceptional written and verbal communication skills and be adept at building relationships with a diverse range of individuals across government agencies. Flexible and positive in nature, you will be able to quickly adapt to changing priorities and proactively anticipate the needs of those you are supporting.

You will also have:

  • Experience with diary and inbox management, meeting coordination as well as arranging travel and accommodation
  • Excellent digital literacy with proven experience with Microsoft 365, Teams, and the latest Microsoft Office tools.
  • Experience working in fast-paced environments, with incredible organisational and time management skills.
  • Confidence dealing with confidential and sensitive topics and demonstrate a high level of discretion and professionalism
